How to Back Up Your Windows 10 PC to an External Hard Drive

http://integral-it.co.uk In this tutorial we're going to look at how to backup your Windows 10 PC to an external hard drive There are several different ways you can back up your PC. You can use a cloud backup or you can buy some the spokes software like a Cronus for your pc but also Microsoft includes some built-in backup software within Windows 10 and that's what I'm going to show you how to use today. I currently have a 250GB external and it is just plugged into the front of my computer, so these are the steps to backup Windows 10 Computer. 1. Go to Start 2. Settings 3. Updates 4. Security Within 5. At the top of the screen click Add Drive The PC will now search for any drives that are plugged in that can be used for backup As you can see in this video it's found my external hard drive here so i want to click on that drive and it will bring up a screen with more options: Look at the overview where it shows that it has not been backed up and it gives the option to back up now. I’m going to now look at the settings for automatic backups. The default is to back up your files every hour which may be a little overkill for most PCs. You can even back up every 10 minutes. I would recommend that you back up daily. Again it's up to you in your circumstances. You will then come to a section that you can choose how long to keep your backups. The default is forever. You are going to be limited to how big your external hard drive space is so if you just want a backup of your data in case your house or office burns down then you know you can select one month. If you've got a business and you got compliance and you need to keep data then you need to buy a big hard drive and select forever or even one or two years. The folders that I’m going to back up all my downloads, favorites, my documents, my pictures, my camera, my videos so it is backing up pretty much everything. The one recommendation I will give here is if you are using Microsoft Office One Drive, I wouldn't include that in the back up options. The nature of one drive is it’s cloud-based storage so you don't need to duplicate the back-up. So you click on remove One Drive then at the bottom you can exclude some folders. You might want to exclude a folder for example it might be an application you might not need it backed up for whatever reason. You can go in there and you can browse to any folder that you want excluded from the backup. Once you have your settings you can either wait until the next backup interval which if we set that will be in the next hour or you can manually click backup now and the backup will start. How to Restore Documents in Windows 10 from External Hard Drive

In my previous video, we looked at how to backup files and folders to an external hard drive in Windows 10. In this video, we're going to look at the other side of this; how to recover files and folders from your backup in Windows 10. In this example, I have created a Word document called "test". I then took a backup of the PC and a few days later, I deleted the Word document. So in this video, we're going to restore the file. The first thing you need to do is connect your external backup drive what you used to take your Windows 10 backup, to your PC. Then, browse to Start, Settings, Update & Security. Within Update & Security, select "Backup". Underneath "Backup using File History", choose "More Options." In the "Overview" section, we can see that the last backup was taken on the 03/01/2017 and the size of the backup was just over 6GB. Next, we need to scroll down to the bottom of the screen and select "Restore Files from a Current Backup". A pop-up will then appear which reads the data from the external hard drive. The window is user-friendly. We can toggle between all the backups taken on each day. If we've just realised that we deleted a file some weeks ago, then it's easy to go right back and restore the data. I know that my Word document was stored in the "Documents" folder so I browse to it and find the Test Document. To restore this document, I just click on the green tab at the bottom of the screen and the document will be instantly restored to my Documents folder. Restoring documents is easy! https://www.integral-it.co.uk Welcome to my Dropbox Tutorial - my getting started guide. Dropbox is an incredibly useful cloud storage tool which can keep your precious files, folders and photographs safe and secure in the cloud. You can register for Dropbox for free by using the Dropbox Basic plan. With Dropbox Basic, you will get the 2GB worth of disk space which is plenty to get you started. Please note, however, I don't recommend Dropbox Basic for on-going cloud storage. It lacks some of the key security features that the paid versions of Dropbox have. You can go ahead and register for a free account though to get you used to the application. The first thing we'll do is register for a Dropbox account. To do this, you will need to browse to https://www.dropbox.com. From there, part of the way down the home page you will see a sign-up form. Just enter your name, email address and choose a secure password and then click on "Sign up". On the next page, you will be prompted to download and install the Dropbox application. How Dropbox works is that you store your files and folders in the Dropbox cloud. You then install the Dropbox software on all of your devices, whether that is your PC, laptop or Smartphone. Having the software on every device means that wherever you are, you have your files with you. In this video, I am using my Windows 10 PC, so I want to install Dropbox. After you install the software, you'll see the Dropbox application where you enter your username and password. Once you've entered your username and password, you can click through the wizard. When you've installed the software, you will see a Dropbox icon in your Windows Explorer screen as well as a Dropbox sign in your system tray (next to your clock). Whatever files you move in the local Dropbox folder will synchronise to Dropbox. I would then sign into the email account where you have registered your Dropbox account. Dropbox will have sent you an email asking you to confirm your account. There are a couple of final tasks to do before we get started. If we go into the "Settings" option, then we can add a photo of ourselves, set the date format and configure what email alerts we want to receive from Dropbox. After that, we will go back to the main Dropbox page. We can do this by clicking on the Dropbox icon. The next thing is to work out how to use Dropbox. We can create a Word document and save it in the Dropbox folder on our PC. You will see after a few seconds that the file also synchronises into Dropbox in the cloud. In addition to this, we can create new folders and move files into folders by dragging and dropping them. We can do this either on our PC or in Dropbox.com. At any time, there is an icon next to each folder. A green tick means that the folder is fully synchronised whereas a blue "whirling" means that it is still synchronising with Dropbox. One of the most attractive features of Dropbox is the ability to share files and folders with other people. By clicking on the share feature, we can add people's email addresses and choose whether we want them to be able to edit the documents or just view them. You also have the ability to edit documents in Dropbox. For example, in this video, we're using a Word document. If the PC/device that we're working on has Word installed, then we can select the option to open the document in Word. If however, the PC doesn't have Dropbox installed, then we can choose the option to open with Word Online, a free online version of Word. We can also install the Dropbox app on our smartphones. In this video, I show you how to install the app onto my iPhone. From the home screen of the phone, click on App Store, then Search, then type Dropbox and click on the cloud icon. The app will then install. After you've installed the app, the cloud icon will change to the word Open. Click on this. When the Dropbox app opens, you will see a blue sign asking if you'd like to sign up for Dropbox. We don't need to do this because we have already signed up for an account, so instead you will see that we can select "sign in". Enter your email address and password and sign into the app. Once you've signed in, Dropbox will ask you if you'd like to back up the photos on your phone to Dropbox. What a great feature. How many people lose their phones and also lose all of their photographs? By backing up your photos to Dropbox, your photos are safe. How to Migrate Emails, Calendar & Contacts to Office 365

https://www.integral-it.co.uk In this video I show you how to move your emails, contacts & calendar from your old email system to your new Microsoft Office 365 email system This video is one in a series of videos on Office 365 so these are instructions assuming you have your email already configured. If not watch the video: How to Set up Office 365 on Outlook Tutorial 2016 https://youtu.be/AzxOkzfV_1E For this video, we move all your email, calendar and contacts into a file called a PST file. We then open your Office 365 Outlook and import that PST file. So you’ve purchased your copy of Office 365, configured your DNS settings so the Office 365 email system is working and you’re sending and receiving emails through Outlook. Great! One of the last remaining (but important!) tasks is to migrate all your emails, contacts and calendar entries from your old email system into your new Office 365 email account. A little word of caution. In this video I show you how to move all your email, calendar and contacts from just one mailbox. If your business has 20, 30, 40 or more users then this process would have to be repeated that number of times and would take a long time! If you do have that number of users, then please contact us and we can arrange to do this for you. If your old email system has thousands of emails and contacts, then the import and export can take some considerable time. Please be patient. So here are instructions: 1. Open your old email system in outlook. 2. Once you have your old email system open simply go to File Open and then click Import/Export 3. Click on Export to a File & then Next and and choose Microsoft Outlook Data File and Next 4. Highlight the top email address and make sure that include subfolders is selected then click Next 5. Then click Browse because we want to create the email archives somewhere we can easily get to it. I'm going to put it in my documents folder and I'm going to call this ‘My Emails’ and then click on Finish. 6. It will ask if you want to create a password and you can leave that blank if you would like and click OK. 7. Next we close Outlook then we are going to open Outlook which is configured for office 365. Go to Control Panel, Mail and then Show Profiles and we change this to our office 365 email and then click Apply and ok 8. We will then launch Outlook which will now launch Outlook office 365 and as you can see we don't have any emails yet in our inbox so what we want to do is import the file we just exported. 9. Go to File, Open and Export, Import from another program or file click next 10. Then choose PST file click on Next 11. And then we are going to browse and click on the folder file ‘My Emails’ which we just Created. Highlight ‘My Emails’ and then open and Next and keep it on Outlook Data File and then finish and as you can see our emails are now imported. 12. Now this has imported the emails into our PC so what has to happen now is all the emails to need to synchronize with the email servers, so if you have a large amount of emails what it will say at the bottom is updating records and inbox so depending on how many emails you have it may take a number of hours to do. Outlook Configuration for Office 365 Exchange Online

This tutorial will show you how to set this up if you’ve already got Outlook configured on your old email system. If you have just signed up or have an Office 365 subscription that is not connected to your Outlook, then this video will show you how to configure your Outlook so that it uses Office 365 to send and receive emails. This video shows you how to replace your old email set up with the new one. 1. Open your Control Panel on your Windows PC 2. In Control Panel click on Mail (Microsoft Outlook) 3. Click on Show Profiles (You will see an existing profile there). 4. Click on that Profile and then click ADD Profile Name 5. Choose a profile name such as “Office 365 Email” and then click Ok This will launch the email configuration wizard. You can configure email 2 ways. You can choose automatically or manual setup. In this video we are going to configure it automatically. 6. Enter your name, your email and your password that you set on Office 365. 7. Click on Next and that will search and try to find the server. Once it finds what is looking for then click FINISH. It will then take you back to the screen and it will show your old profile and your new profile. 8. The important thing to do now is go down to the bottom of this box and check the “Always Use this Profile” and choose the new one “Office 365 Email” Then click OK. Now you can launch Outlook from your PC and it should now use Office 365 email system. How to Run Windows 10 on a Mac Using VirtualBox

In this video I am going to be installing Windows 10 but you can also use this tutorial to install Windows 7 or 8 as well. I primarily use a Mac on my computer most of the time but occasionally I need to access Windows 10 on a PC so I can just open the software inside the Mac and literally switch on the Windows 10 in the PC. Two Things you are going to need is: 1. Virtual Box software which is free of charge and free download 2. You're also going to need the Windows 10 software which I already downloaded here. The download links are below: You can download VirtualBox from this link. https://www.virtualbox.org/wiki/Downloads You can create a Windows 10 64-bit ISO tool by using the media creation tool on the Microsoft website. https://www.microsoft.com/en-us/software-download/windows10 There are two ways that you can run Windows 10 on a Mac. The first way is you can install virtualization software so when you switch the Apple Mac on it will ask you if you want to use Mac or Windows 10. The second way in which I'm going to show you in this video is to have Windows 10 run as a virtual machine inside the Mac. This is really handy for me. -So the first thing we're going to do is download the VirtualBox software. What we want is VirtualBox OSX Host so we are going to click on that link and follow the prompts. -Click Install and type in your username password for your Mac and that should install the VirtualBox software. Click on Close. -You then click on your applications folder and you will see that it is now installed on your computer. It will then take you to the Welcome VirtualBox homepage. The first thing we want to do is click on NEW because we’re going to create our Windows 10 device. -In the name boxes you can type in ‘Windows 10 PC’. It will then give you a dropdown box of the version of Windows you want to use so you are not limited to Windows 10 you can choose Windows 8 or Windows 7 , Windows Vista device within your . I'm going to choose Windows 10 64-bit and then click continue. -It’s now asking me to choose the amount of memory I want to allocate to the Windows 10 virtual machine. I am going to choose 4GB which is actually 4096. Click to continue. It does show you the recommended memory as 2GB but it could run quite slowly at 2GB. -Next it will say click on a virtual hard disk now and going to keep this VirtualBox disk image. For the storage on the physical hard disk I’m going to choose ‘Dynamically Located” because we are probably going to save some disk space. Click Continue. Under File Location and Size we are going to leave the name Windows 10 PC and I’m going to choose 50GB so I will create a 50GB Hard disk. Hit Create. -So we’ve not created the Windows 10 Virtual Machine but it’s a blank PC so now what we need to do is get the windows software installed. (which we downloaded earlier) -Click on Start at the top of this box and then we need to browse to our Windows 10 software. Once we find it Click on Open and then Start. -So the virtual machine is now open and it is almost like having a Physical PC. We are now going to install Windows 10. -Click on Next and then Install. -Accept the License terms and click on Next. On the next screen choose ‘Custom’ and then Next. -It is now going to install Windows 10. It may take a little while to install. It’s now installed so we just need to customize it with your name, etc. It will guide you through a series of prompts including setting up an account for the Windows PC. -Then click next and it will boot up and you are now in the Windows 10 PC. We now have a fully functioning Virtual PC. What I now do is run a Windows 10 PC inside of my Apple Mac computer. This saves me time and money and it’s also free to do. in the video below, I’ll show you just how to do this. How to Do a Windows 10 Clean Install After Upgrade (Step-by-Step)

http://integral-it.co.uk A step-by-step tutorial on how to do a Windows 10 Clean Install after you have upgraded from Windows 7 or 8. People ask me a lot if you should do a Windows 10 Clean Install or a Windows 10 upgrade. I recommend strongly that if you've recently upgraded to Windows 10 you really should go back and do a fresh install of it. Have you recently upgraded to Windows 10 & your PC is running slower or sluggish? I am going to show you how to fix it. As an IT professional with over 15 years experience I always advise my customers NOT to upgrade their Microsoft operating systems. You put something new in this case Windows 10 over something old like windows 7 or windows 8 it’s a little bit like painting over wallpaper. The best approach is to wipe your computer clean and install windows 10 as a fresh install directly onto the hard drive. In this video I'm going to show you how to do that but first there are two thing you absolutely must do! You are going to need either one of these: External Hard Drive or A USB memory stick Because what we're going to do is wipe your computer clean of everything. We are going to wipe the hard drive and then put windows 10 as a fresh install. So when we do wipe your hard drive it is going to erase your documents, pictures, music, applications… everything. So the first thing you need to do is back up with your documents and copy them onto an external hard drive or memory stick. The second thing you need to do you need to make sure you've got the software to install everything back on. I mean things like Microsoft Office, your antivirus software and any applications that you use. Do you have the installation CDs, the downloads and the license keys? So once you do install Windows 10 you can install those applications back on to your computer. Once you've done those things let’s go over to the computer and I will show you how to reset your computer to a clean install of Windows 10. Here we are on my Windows 10 PC and this pc started its life as a Windows 7 PC and has been upgraded to Windows 10. Now what I want to do now is I want to clean the hard drive and reset it to a nice clean install of Windows 10. The first thing I need to do is 1. go to start button in the bottom left hand corner and 2. go to settings. 3. Update & Security 4. Click on Recovery Tab Just down here now is a section here called ‘RESET THIS PC’ so we click there on GET STARTED and then we've got two options we can keep files or remove everything. Because I want a nice clean install I'm going to REMOVE EVERYTHING but once again remember to take a backup of all your files and your software and everything. I will click on remove everything and then we have two more options. We can just REMOVE THE FILES or REMOVE THE FILES AND CLEAR THE HARD DRIVE. I will give you a little bit of guidance here. On this top section use this if you keeping this pc and this bottom one use this if you're recycling the pc. If you are resetting the pc to give it away or you no longer need it anymore then choose this option. It takes a few hours longer. Or if you are installing Windows 10 to keep it for yourself then it's okay just to remove the files. You will then get confirmation of what you're going to be doing and i'll tell you that you need to you then get this confirmation page here and all you simply do is click on reset and that will install windows 10 as a fresh install. How to Import Mail & Contacts into Office 365 from PST File

https://www.integral-it.co.uk/ In this video, I will show you how to import your email, calendar and contacts into Office 365 using a PST File. When would you need to use this feature? Example 1: You might have changed email systems and not all of your email, calendar and contacts have transferred across to your new email system. This video explains this. Example 2 – you have all your contacts in Outlook. You also have an old Excel spreadsheet with hundreds of other contacts. The problem is, you have noticed that some of the contacts in Excel are also in your Outlook contacts, but not all. You could painstakingly go through each entry and then manually delete the duplicates or you could use the ‘do not import duplicates’ feature of Outlook to automatically do this for you. Example 3 – you are running two email accounts. Both use Outlook. One is personal and one is for business. Rather than maintaining two calendars, you have decided to merge the two together. You could either manually go through each calendar or export one calendar into a PST file and import it into your main calendar using the ‘do not import duplicates’ option. How Can Two-Factor Authentication Secure Your Business?

Two-factor authentication might be a term that you're unfamiliar with, but the chances are that you've used the technology before. It's a few years since most of the high street banks introduced two-factor authentication as an additional security measure when you log into your personal and business banking. The small token that you enter a code into our insert your card in return for a security number is two-factor authentication or 2FA for short. Why is 2FA important? If we take the example of logging into your online banking, previously you would need just your username and password to log in and access all of your money online. What would happen if someone hacked your PC and your username/password stolen? It would be easy for someone to log into your online banking and take all of your money. With 2FA, even if someone else has your username and password, they still can't log in to your online banking with your security fob. The chances of someone having your username/password and your security fob are slim. How can 2FA protect you and your business? 2FA in the business world isn't a new concept. I remember my first IT position at HBOS in 1999 and most of the senior managers had small 'RAS tokens' so they could dial up and access their email and files while they were working from home. Technology has changed somewhat since 1999! One of the main changes is that most of our business IT services are now cloud-based. For example, as a business, we use Office 365 for email, Xero as our cloud-accounting package and Nimbox to store all of our company data. It would be disastrous for any of these cloud services to get hacked. Fortunately, we can protect all of these cloud services with 2FA authentication. 2FA Token or App? Smartphones weren't around in 1999, and so physical tokens were needed for users to connect to their corporate network. Today, we can use our smartphones to install apps like Google Authenticator or Microsoft Authenticator. These apps work just like a RAS token and produce a 6-digit code every 30 seconds for you to use when you log into Office 365, Xero and a whole range of online services. These apps are also free of charge. There might be times when using an app on a smartphone isn't convenient for your business. Integral IT have just finished a project implementing 2FA for an Accountancy in Leeds where they didn't want business apps on personal devices and didn't want to provide everyone with a business smartphone. The solution for them was to use Yubikey's 2FA token which is very cost effective and easy to use. Can 2FA protect my social apps too? Yes. Facebook, Twitter and Instagram can all be configured to use 2FA. With a smartphone, these extra security steps won't cost you a penny, and we would highly recommend them. Is your business using 2FA? Ransomware Tutorial: How Can You Protect Yourself? Imagine clicking on an unfamiliar link, or opening an email attachment, and suddenly every important file on your computer becomes inaccessible. You then get a message from an unknown party demanding that you pay a hefty fee in order to get your access back. That's the basic description of ransomware, an emerging form of cybercrime that has become one of the biggest threats to businesses over the last couple of years. Among ransomware, CryptoLocker is the biggest of the brand names -- the Pepsi or Coke of the field, you could say. First seen in action in 2013, it ran rampant through the internet for nearly a year before finally being taken down by a joint international effort. Unfortunately, that wasn't the end of either CryptoLocker or ransomware. While the original CryptoLocker has been cracked, new variants using the name are still being passed around. Many other forms of ransomware very similar to CryptoLocker have also sprung up -- some of the most commonly seen examples are Locky, CryptoWall and TorrentLocker, but there are dozens (if not hundreds) of individual variants lurking around out there. Understanding The Ransomware Threat Ransomware would be impressively ingenious in its simplicity and effectiveness if it weren't so infuriating. What it does is simply target a wide range of common file extensions that aren't necessarily something the computer operating system needs to function, but that will likely contain important data that you don't want to lose access to. Things like documents, spreadsheet files, pictures, video and address books. The ransomware then encrypts all of these files with a very strong password that would be nearly impossible to break. The ransomware sends a signal back to whoever is at the controls, prompting them to send a message to you with instructions on issuing a digital payment in return for the password to unlock your files. Why is ransomware so effective? For starters, if you're caught unprepared, there's pretty much nothing you can do but either pay the ransom or give up your files. The computing power required to crack a ransomware password is simply too great and would take too long for the average user. Ransomware distributors are also effective social engineers and businesspeople. They charge ransoms that are large enough to be irksome, but that the target can nevertheless usually afford and will be willing to pay to make the problem go away -- usually in the range of $500 to $1000 somewhere. Most people simply choose to pay up, making it a multimillion dollar industry as mass phishing emails target people and businesses around the world quickly and with little effort on the part of the hacker. The problem seems to be growing. 2016 saw an increase from all previous years in the number of ransomware variants seen in the wild, the overall number of attacks, and the average ransom amount demanded by the hackers. A mid-2016 survey of business IT departments conducted by Osterman Research found that a full 50% of respondents had seen a ransomware attempt on their network in the past 12 months. Rates of infection are hovering at about 40,000 systems per month in the United States alone. Expect all of these numbers to go up, as organized criminals are now selling prefab ransomware kits that allow those with little technical experience to begin their own operations. Is There Any Defense Against Ransomware? There are two main ways to help combat ransomware. First, it's important to use good anti-virus software. Free software versions such as Microsoft Security Essentials or AVG Free don't offer enough protection. We recommend using ESET Smart Security. This software has a built-in network scanner which can help identify malicious network activity. You can read more about ESET software here. The growing ransomware threat underscores the need for businesses to have an automated and thorough backup system in place. A "snapshot" system that periodically archives the entire system or network to both a cloud host and local storage is the ideal preventive measure. If ransomware strikes, you can simply "turn back the clock" on the system to before it was installed. A product that we recommend is Nimbox. Nimbox is an excellent cloud storage, backup and collaboration tool with built-in protection against Ransomware. If you're unlucky enough to get infected, you can roll back your data with one click.

You may or may not know but Windows 10 includes a built-in antivirus software solution. It is called Microsoft Windows Defender. To access it: - Go to Start & Settings - Click Windows & Security - Click Windows Defender - Scroll to the bottom and open the console Windows free anti-virus software is available on Windows 8, 8.1 and 10. As an IT professional with over 15 years experience my advice is not to use it. Microsoft is not a security company. They create applications and operating systems and don’t specialize in protecting against malware or viruses. Instead a product that I would recommend is one called ESET Anti-Virus. You don’t even know that it is running in the background and protects you really well online. It also has built-in parental control.
