We upload videos every other Thursday with more helpful accounting tutorials for small business owners! --- Hi, my name is Aurora, and I’m here at Patriot Software with an accounting basics tutorial of what all small business owners should know. We get it: you’re a small business owner, not an accountant. But as the owner, you’re in charge of making sure your books are in order. So, where can you start? Begin with using a cash-basis accounting system. It’s basic accounting: cash in, cash out. You record transactions as money changes hands. Now, what should you record? Record all incoming and outgoing transactions. The more in-depth your records are, the better. Your incoming transactions will include: What you sold Who you sold it to How much revenue you collected The date you received payment And, if applicable, how much sales tax you collected Your outgoing transactions will include: The taxes you paid The employees you paid And, your business overhead costs, like office supplies and rent. Keep track of every dollar that goes in and out of your company. Many payments you make may be deductible based on your income or business structure. Next up on our accounting basics tutorial, how do you record these transactions? You should place every dollar you collect on its own separate line. Do the same thing for every expense. Record where the money went, or where it came from. Do this so you know which payments qualify for tax breaks and how much of each payment you received goes to taxes. You should also consider organizing each transaction into a chart of accounts, separating your: Asset accounts, like checking accounts and savings accounts Expense accounts, such as insurance, payroll, and rent Income accounts, like money made from products and services Doing this will not just help make filing taxes easier, but it will also help you understand your business’s cash flow. Studies show that small businesses with poor accounting records are generally destined to failure whereas businesses with good records have a much better chance of survival. So here are some common mistakes to avoid in keeping good records. Mistake 1: Not Balancing Your Records to Your Bank Account Reconciling to your bank statement ensures that everything that has gone through your bank has been included in your accounts. It's one of the first things that both an accountant and a tax auditor will look at. If you don't balance your books to your bank account: • your accountant or tax preparer has to do a lot more work meaning more cost for you • you may well be paying more tax than necessary as you could be missing expenses that could be claimed as tax deductions • you are at risk if you get a tax audit and the tax inspector will spend a lot more time drilling down into your affairs because they will not believe you have taken due care in keeping your records Be disciplined to balance (reconcile) your records to your bank statement every month. Mistake 2: Not doing the books often enough Bookkeeping is often a chore at the end of a long day. But doing your books regularly will save hours of time by not having to track details that you cannot remember. Mistake 3: Not recording cash payments Many small business owners pay cash out of their pocket for business expenses. But not recording these expenses can equate to thousands in lost tax deductions. Keep an envelope in a strategic place so that all cash receipts can be put into the envelope and entered into your records at the one time. And make sure you get a receipt for everything! And get a simple bookkeeping system like 'Accounting Sux' that makes it easy to record cash payments. Mistake 4: Not recording enough information about transactions My experience as an accountant is when many small business owners visit their accountant they bring their bank statements, receipts or even their computer records... and a bad memory! Do this at your peril! When everything is fresh and current, you need to add an explanation next to every transaction that is not obvious to someone else such as your accountant or a tax auditor. You will save hours with your accountant, have a stress-free end of year and peace of mind if you get a tax audit. Mistake 5: Trying to use an accounting software program beyond your level of expertise. This mistake is often the most costly of all. Most small business owners have not been trained in accounting yet the vast majority of accounting software requires a high level of understanding. Unless there is a specific need, most small business owners would be much better off with an easy system that allows them to accurately track money coming into their business and the money that goes out. If they issue invoices then they also need a system for that and to track the money customers owe them. This will provide you with records that actually HELP you understand and manage your business while actually minimizing the time your accountant needs to spend preparing tax returns. And the best part is: you can get on with running your own business instead of trying to be an accountant. If we haven't got the right paperwork then there is little we can do. So the important thing is keep all those receipts, the things you have spent your money on and are going to want tax relief on. Keep emails for things you have bought over the internet. Keep your supplier invoices. Make sure you keep invoices you send to your customers. Keep your bank statements, and if you want to minimise your Accountant fees don't stick it all in a shoebox and give it to us on the 30th January. We really won't thank you for it. So having got all the paperwork together, how do you start to record it. Well, we don't mind and funnily enough neither does the Government. You can write it all down in a book. You can pop it into a spreadsheet or you can use an accountant package. It doesn't matter. Lots of our clients use spreadsheets. One thing you might find beneficial is segmenting your paperwork by month. Buy yourself a ring binder file and keep all your receipts for the month in one tab and then move onto the next one. Keep your bank statements in the same one or with invoices in a separate file. Just a way of organising your paperwork you might find useful. Software, now that's an interesting one, as your business grows some accounting software you might find quite useful. As to the packages, there are loads out on the market place. Find one that's most suited to you, your style and the way you operate your business. Accounting packages save you time by automating various functions, raising yours sales invoices, they can allow you to get reporting on the performance of your business. This video is geared to small construction companies—my next one will be for large construction companies. I know that most small construction companies don’t want to spend a lot on bookkeeping, and this video is geared toward contractors who fit in that category. I have a simple, quick way of doing the books for anyone in the construction industry. With the method I reveal in this video, all you have to do is tell your CPA or bookkeeper what you want out of your bookkeeping and he or she will be able to easily plug in variables to add to the simple bookkeeping for contractors concept I’m introducing here, according to your needs and desires. I’m a CPA who works a lot with construction companies. I do bookkeeping, tax work, workers comp audits, financial statements and so forth. But what I enjoy doing the most is the bookkeeping because, frankly, a lot of construction companies’ books are a complete mess and I like to clean them up, show them the best way to go about doing their bookkeeping and have them understand the statements that they are looking at. I feel that they get a whole lot out of that. Through trial and error, I’ve come up with the best and most efficient way to produce understandable financial statements at an affordable rate. This can be done fairly quickly by a competent CPA. In my case, I have a bookkeeper I use a lot so I’m able to charge very affordable rates—I just review the bookkeeper’s work all the way through, which I can do pretty quickly, and that’s how I’m able to charge very reasonable rates. In the video, I quickly run through a case study of a hypothetical construction company to show you how simple and easy it is to organize your construction company’s bookkeeping using my method. Video transcript: Hi my name is Grandpa John, I will guide you through the accounting section of the MBA in pills offered by the four week MBA. for more business educational videos. check out this link. we saw in the accounting equation video, that the balance sheet, is divided in two main sections. the asset section, and the liability and equity section. more in detail. the asset section is comprised of current assets, and non current assets. main current assets are. cash, accounts receivable, inventories. prepaid expenses. the current assets, are called such, because they are usually on the balance sheet for one year, or less. the current assets are usually listed, on the balance sheet, according to their degree of liquidity. therefore, cash is the most liquid, while prepaid expenses, the least liquid.cash, is available at any time. accounts receivable, sum of money to be received from customers. inventory, a list of goods to be sold. prepaid expenses, sum paid in advance. the non-current assets are also called, long term assets. indeed, those are assets that will stay on the balance sheet for years. such as plants, equipment, furniture, and so on. on the other side of the balance sheet, we have, the liabilities and equity. liabilities, are comprised of current liability and non current liability. current liabiltiies, stay on the balance sheet, for less than a year. non current, for more than a year. Let's see the main current liabilities. accounts payable, sum of money not yet paid to suppliers, that will be washed away, once paid. accrued expenses, sum of money to be paid in the future, such as, payrolls, or tax the main non current liability is, long term debt. such as loans contracted with the bank. then, the equity. in this sub section are reported items, such as, owner's equity, retained profits and other kind of stocks, issued by the organization. lets see now few examples. jim sold $100 worth of clothes. his customer, Janet, paid with credit card. therefore, this will generate an account receivable, for $100, on Jim's balance sheet. jim, has to pay for utilities. since it is the first time he set up the account. he has to pay for $1,000 in advance. this advanced payment, will be shown as, prepaid expense. jim, this month, did not sell part of the clothes he bought in the previous month. the unsold clothes, will become part of his inventories. then, Jim had to pay $50,000 cash, to renovate the store. this $50,000 will show on his balance sheet, as building improvement, therefore, a long term fixed asset. jim, buys clothes for $1,000, with credit card. the payment will be processed in 30 days. this transaction, will generate an account payable, on jim's balance sheet. Jim, goes to the bank, to ask for a long term loan. the bank gives Jim, $50,000. this will generate a bank loan. showed under long term liability, on Jim's balance sheet. after a while. Jim accepts a new partner, Jasmine. Jasmine puts $50,000 and becomes equity partner. this transaction, will show on the balance sheet, as owner's equity. in conclusion, the balance sheet, is one of the main financial statements. it is like an instant picture. and it helps us to assess how risky a business is. in fact, when a company is too indebted. you can see it from the balance sheet. if liabilities are too much in comparison to equity, this can be very dangerous for the business.to summarize. the balance sheet is comprised of two main sections. it is an instant of the business. and, allows us to see how risky a business is. if you liked this video, and you found the topic interesting please live a comment at these links. if you would like to learn more, about other topics, contact us. How To Do A Balance Sheet To put together a balance sheet, you'll obviously need all of the financial data from your different trial balances. In reality, the information for a balance sheet starts with the individual transactions, but the purpose of this article is just to show you how to organize a balance sheet. First of all, there are two sides to the balance sheet: the right and left side. On the left side, you'll have your assets. On the right side, you'll have two sections: liabilities and owners' equity. The left and right side will always be equal, and the main balance sheet equation is: Assets = Liabilities + Owners' Equity This makes sense because the Assets are on the left side, and it will always equal what is on the right side, which is the Liabilities and Owners' Equity accounts added together.
