6. Excel Data Validation to limit data input options

Excel data validation allows you to limit input options. Once applied it displays a drop down menu where the user can select from the given options. To apply data validation; 1. Go to Data tab 2. Click data validation button. In the "Allow" field select "List". 3. In the "Source" field enter the options you would like to have available. (eg: Yes or No) Ensure the options are separated with a comma. 4. Once you press Ok, now you see the drop down menu on the cell and you are now only allowed to select from the drop down menu. YouTube Channel: https://www.youtube.com/user/statisticsinstructor Video Transcript: In this video we'll take a look at how to enter questionnaire or survey data into SPSS and this is something that a lot of people have questions with so it's important to make sure when you're working with SPSS in particular when you're entering data from a survey that you know how to do. Let's go ahead and take a few moments to look at that. And here you see on the right-hand side of your screen I have a questionnaire, a very short sample questionnaire that I want to enter into SPSS so we're going to create a data file and in this questionnaire here I've made a few modifications. I've underlined some variable names here and I'll talk about that more in a minute and I also put numbers in parentheses to the right of these different names and I'll also explain that as well. Now normally when someone sees this survey we wouldn't have gender underlined for example nor would we have these numbers to the right of male and female. So that's just for us, to help better understand how to enter these data. So let's go ahead and get started here. In SPSS the first thing we need to do is every time we have a possible answer such as male or female we need to create a variable in SPSS that will hold those different answers. So our first variable needs to be gender and that's why that's underlined there just to assist us as we're doing this. So we want to make sure we're in the Variable View tab and then in the first row here under Name we want to type gender and then press ENTER and that creates the variable gender. Now notice here I have two options: male and female. So when people respond or circle or check here that they're male, I need to enter into SPSS some number to indicate that. So we always want to enter numbers whenever possible into SPSS because SPSS for the vast majority of analyses performs statistical analyses on numbers not on words. So I wouldn't want and enter male, female, and so forth. I want to enter one's, two's and so on. So notice here I just arbitrarily decided males get a 1 and females get a 2. It could have been the other way around but since male was the first name listed I went and gave that 1 and then for females I gave a 2. So what we want to do in our data file here is go head and go to Values, this column, click on the None cell, notice these three dots appear they're called an ellipsis, click on that and then our first value notice here 1 is male so Value of 1 and then type Label Male and then click Add. And then our second value of 2 is for females so go ahead and enter 2 for Value and then Female, click Add and then we're done with that you want to see both of them down here and that looks good so click OK. Now those labels are in here and I'll show you how that works when we enter some numbers in a minute. OK next we have ethnicity so I'm going to call this variable ethnicity. So go ahead and type that in press ENTER and then we're going to the same thing we're going to create value labels here so 1 is African-American, 2 is Asian-American, and so on. And I'll just do that very quickly so going to Values column, click on the ellipsis. For 1 we have African American, for 2 Asian American, 3 is Caucasian, and just so you can see that here 3 is Caucasian, 4 is Hispanic, and other is 5, so let's go ahead and finish that. Four is Hispanic, 5 is other, so let's go to do that 5 is other. OK and that's it for that variable. Now we do have it says please state I'll talk about that next that's important when they can enter text we have to handle that differently.

The classroom teacher has a million things to think about: starting the lesson, student queries, have the students done their homework? In this situation, multiple mouse clicks and keyboard work is frustrating; indeed, it might mean that the teacher gives up on the Excel file altogether! We can use Excel VBA to create buttons for super-fast data input. This means that, rather than clicking around or using the keyboard, the teacher can make a single button click to input the required data. Moreover, mistakes can be quickly rectified by clicking the same button. With this level of usability, super-fast data input can make this kind of Excel-based tool a real asset to the classroom teacher. How does it work? Well, multiple buttons are required. Anybody who has tried to create and manipulate multiple buttons in Excel knows that this can be onerous! There is nothing worse than copy / pasting and manually lining up shapes. So why don't we talk about it more? More efficient data input could save us a lot of time ... and frustration! What are the basic data input options? The first and most commonly used option is to simply type data in. This is what you did when you first used Excel, and you still do it now ... a lot! It can mean annoying mouse / keyboard work, and time and effort to fix spelling mistakes, and other errors. Are they any better options? A dropdown menu is a good idea. With a single mouse click we can view possible inputs and select one. It is certainly an improvement on keyboard inputs, but still requires some fairly precise movements to manipulate the dropdown menu, which creates cognitive load, or ‘stress’! In a work situation it could be a distraction from your job. At this point, let's consider a real-life example. A classroom teacher would want to record student attendance, and might wish to use Excel or another piece of software to do this. This is where the benefits of super-fast data input come into sharp focus. The classroom teacher has a million things to think about: starting the lesson, student queries, have the students done their homework? In this situation, multiple mouse clicks and keyboard work is frustrating; indeed, it might mean that the teacher gives up on the Excel file altogether! We can use Excel VBA to create buttons for super-fast data input. This means that, rather than clicking around or using the keyboard, the teacher can make a single button click to input the required data. Moreover, mistakes can be quickly rectified by clicking the same button. With this level of usability, super-fast data input can make this kind of Excel-based tool a real asset to the classroom teacher. How does it work? Well, multiple buttons are required. Anybody who has tried to create and manipulate multiple buttons in Excel knows that this can be onerous! There is nothing worse than copy / pasting and manually lining up shapes. We've typed the items in column B and now i'm going to select all those cells and we're going to give that a group of cells a name. To make data entry easy, and help prevent errors, make an in cell drop down list in Excel. First, create a list of items in an Excel table. Then use Excel data validation to make the drop down list with those items. People can quickly select from your list, instead of typing. Go to my website to get the free Excel workbook. http://www.contextures.com/xlDataVal01.html '---------------------- Transcript for How to Make a Cell Drop Down List in Excel 2010 In this workbook, we have a list where we're going to assign staff members to each week. I'd like a drop down list in this cell so it's easy to select a name. On another sheet in the file, I've created a list of names with the title Employees at the top. The first step will be to create a Named Table, and to do that, I'll go to the ribbon, and click the Insert tab, then click Table. Here's the Create Table window, and it's already selected the range where my list is. I'm going to say yes there are headers because this cell is a header, so check that box and click OK. We now have a table and if I click somewhere in that table, I can see its name up here in the Table Name box. I'm going to use these employee names in my drop down list. The next step will be to give an Excel name to the range of cells where the employee names are. I'm going up to the ribbon, and on the Formula tab and in this Defined Names group, I'll click Define Name. I'm going to call this EmpList, the short version of Employee List. The scope will be the workbook, I want to be able to use this name anywhere in the workbook. I won't add a comment, and right now it's just showing the cell I have selected on the worksheet. I'm going to delete that. For the Refers To, I want it to refer to this table. I'm going to click an =, and click this button to go to the worksheet. If I move my pointer just to the top of the column, and click there, it picks up that table and shows the name of the column. This is Table 1 and the Employees column. Click the button to go back into the Dialog box. This name is going to be equal to whatever is in that column and as the column grows or shrinks, it's going to keep track of it for us. Click OK and we now have a name in our workbook that we can use in a drop down list. I'm going back to the other sheet. These are the cells where we want the drop down list. I'll select all of those cells, and on the ribbon, go to the Data tab, and click Data Validation. Instead of just any value, we want to allow a list. In this source box, I'm going to type an =. On your keyboard, press the F3 key, and that opens up a list with names. There's the name I created. I'll select that and click OK, and it puts it in for us. When I click OK now, I've got data validation. So each cell that I click on, you'll see the drop down arrow. I can select anyone of the names, go down, and assign an employee to each week without trying to remember all the names. It creates that list so the data entry is easy for us.
